1. Information we collect

Account information. Name, email address, company, role, and login credentials for people who are given access to the Services.

Claim information you upload. Documents and data submitted for review, such as mitigation estimates, invoices, drying and moisture logs, photographs, lab reports, and related claim details. These materials may include information about insured property owners and contractors, such as names, property addresses, and claim numbers.

Information you submit through our website. Details you provide when requesting a demo or access, submitting a claim, or contacting us.

Billing information. Information needed to invoice our customers, such as company name, billing contacts, and records of services provided. Payments are processed through our accounting provider. We do not store payment card numbers.

Usage information. Basic technical information such as log-in times, pages used, browser type, and IP address, used to operate and secure the Services.

2. How we use information

We use information to:

• provide the Services, including scoring, estimate audits, timelines, reports, and negotiation support;
• operate, maintain, secure, and improve the Services;
• manage accounts and access permissions;
• prepare invoices and keep business records;
• communicate with users about the Services, including support and service notices;
• comply with legal obligations and enforce our agreements.

3. Automated and AI-assisted analysis

The Services use automated tools, including artificial intelligence services provided by third-party vendors, to analyze uploaded documents and generate scores, findings, and reports. These outputs are decision-support tools. They are reviewed and relied upon at the discretion of our customers and are not coverage determinations or final payment decisions. Only the insurance carrier can approve payment on a claim.

4. How information is shared

We do not sell personal information.

We share information only:

• Within the customer's organization. Each carrier's users can see that carrier's own claims and data. We maintain controls designed to prevent one carrier from seeing another carrier's claims or contractor performance data.
• With service providers who help us operate the Services, such as cloud hosting and database providers, AI processing providers, email delivery providers, and accounting and invoicing providers. They may use information only to provide services to us.
• With contractors, when a customer engages MitScore to do so. For example, when MitScore communicates with a contractor about an estimate on a carrier's behalf.
• When required by law, or to protect the rights, safety, and security of MitScore, our customers, or others.
• In a business transfer, such as a merger or sale of assets, subject to this Policy.

5. Data security

We use administrative, technical, and physical safeguards designed to protect information, including encrypted connections, access controls based on user role and company, and restricted access to sensitive systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data retention

We keep claim information and account information for as long as needed to provide the Services, meet our customers' record-keeping needs, and comply with legal, accounting, and contractual obligations. Customers may request deletion of their data, subject to those obligations.

7. Your choices and rights

Depending on where you live, you may have rights to request access to, correction of, or deletion of your personal information. If your information was provided to us by an insurance carrier, we may refer your request to that carrier. To make a request, contact us using the details below. We will not discriminate against you for exercising your rights.

8. Cookies

We use cookies and similar technologies that are necessary to sign in, keep your session secure, and operate the Services. We do not use advertising cookies in the MitScore platform.

9. Children

The Services are intended for business use and are not directed to children under 18. We do not knowingly collect personal information from children.

10. Changes to this Policy

We may update this Policy from time to time. We will post the updated version on this page and change the effective date above. Material changes will be communicated to account administrators.
